The personal privacy and security of your personal data are important to us at Next Hire.
Next Hire is responsible for ensuring that all personal data is processed correctly and in accordance with applicable data protection regulations (GDPR).

This Privacy Policy describes how Next Hire processes personal data of job applicants and employees. We therefore ask you to carefully read this Privacy Policy before sharing any personal information with us.

Next Hire only stores and processes personal data relevant to the purposes described in this Privacy Policy and in the specific terms for each service.

The main purpose of processing your personal data is to match job seekers with suitable job opportunities. In some cases, Next Hire’s clients may access your personal data, for example, to contact you if you are assigned to work with them.

All personal data processed by Next Hire is provided directly by you — either through our website (www.nexthire.com), during interviews, or through contact with our recruiters or managers. This may include interviewer comments or notes.

Examples of personal data processed for job applicants include:

  • CV and cover letter

  • Interview notes

  • Video CVs and references

You, as a job applicant, are responsible for informing your referees that you have shared their contact details with Next Hire.

For employees, we process additional data such as:

  • Personal ID number

  • Bank details (for salary payments)

  • Emergency contact information

  • Work schedules, employment records, and salary information

Next Hire stores and manages all personal and sensitive data securely. We have internal and external policies and procedures in place to ensure data protection at all times.


3. Processing of Personal Data

3.1 Your Rights

Next Hire complies with GDPR and other applicable data protection laws. As a job applicant or employee, you always have the right to know what personal data is stored about you.

You may request a free copy of your registered personal data once per year. For additional requests within the same year, an administrative fee of 395 SEK applies.
Requests must be signed and sent by post to:
Next Hire, Att: Finance Department, Box 5832, 102 48 Stockholm.
Please include your personal ID number and specify where the report should be sent (postal or email address).

You also have the right to:

  • Correct or update incorrect or incomplete information

  • Withdraw your consent at any time

  • Request deletion of your data

Please note that certain data may need to be retained due to legal obligations or contractual requirements, even if you withdraw your consent.


3.2 Purpose of Processing

Personal data is processed for the purposes described in this Privacy Policy. If you choose not to provide certain information, it may affect the recruitment process.

Next Hire processes personal data only when necessary for recruitment or employment-related purposes, including:

  • Matching the right person to the right position

  • Managing applications, interviews, and hiring decisions

  • Fulfilling legal obligations and employment agreements

  • Handling discrimination claims, disputes, or complaints

  • Conducting internal demographic studies and improving operations


3.2.1 Consent to Processing

By accepting this Privacy Policy, you consent to the processing of your personal data by Next Hire.
If you do not agree, please do not provide any personal data or enter into an employment contract with us.


3.2.2 Job Applicants

For job applicants, Next Hire processes data you have provided — either through our website or directly to our staff. This may include interview notes and assessment results.

We may use profiling tools or assessment frameworks to evaluate candidates’ responses and ensure fair and accurate hiring decisions.

Types of data processed include:

  • Name, email, phone number, and personal ID number

  • Skills, experience, and education (from your CV/profile)

  • Links to connected social media accounts (if applicable)

  • Photo, video CV, test results, and reference feedback

  • Other information voluntarily provided by you

If you choose to submit a photo or video CV, you consent to Next Hire processing and potentially sharing these materials with clients during recruitment.

Certain roles may require background checks (e.g., criminal record, health check, or credit report). You decide whether to consent to these checks. Refusal may affect your eligibility for certain positions.


3.2.3 Employees

For employees, Next Hire collects additional information, including emergency contacts and banking details, to fulfill legal, contractual, and payroll obligations.

We may share this data with trusted third parties (e.g., payroll service providers), all bound by Data Processing Agreements (DPAs) that comply with GDPR.

Your data is processed only for relevant purposes such as:

  • Payroll administration

  • Performance evaluations

  • Compliance with employer obligations

  • General HR management

Sensitive information (e.g., health data) may also be processed when required for legal or occupational health purposes.


3.2.4 Data Retention

How long we retain data depends on its type and purpose.

Next Hire retains data for the following durations:

  • Recruitment-related data: Current year + 3 years

  • Employment records and contracts: During employment + 10 years

  • Payroll and accounting data: During contract + 10 years

  • Pension and tax-related data: Until pension obligations end

Inactive profiles are deleted when the user deregisters, the contract ends, or services are no longer required.


4. Data Storage and Transfers

Next Hire stores personal data securely in accordance with this Privacy Policy and applicable law.

We may share data with trusted partners (e.g., payroll or testing providers), all of whom meet GDPR compliance requirements.
Next Hire has signed Data Processing Agreements with all such partners to ensure a high level of data protection.

As a rule, Next Hire does not transfer personal data outside the EU/EEA. However, if such a transfer is necessary (e.g., use of a service provider outside the EU/EEA), appropriate contractual safeguards and GDPR-compliant agreements are always implemented to maintain a high standard of protection.


5. Data Protection and Deletion

Next Hire has implemented appropriate technical and organizational security measures to protect your data against unauthorized access, loss, or alteration. Our security practices are continuously updated in line with technological advancements.

We delete or anonymize data once the purpose of processing is fulfilled, in accordance with applicable law.

Next Hire reserves the right to revise this Privacy Policy from time to time due to technological developments, legal updates, or changes in business operations.
The date of the latest update will always be displayed at the end of the policy.

We recommend reviewing this Privacy Policy regularly.
If significant changes are made, we will notify you and, if necessary, request renewed consent.
